By registering with Hamilton Equine Veterinary Practice Limited and instructing us to perform services and/or by purchasing and ordering goods, you agree that you are a client of Hamilton Equine Veterinary Practice Limited and you are bound by the following terms and conditions.

 

Fees


All professional fees, consumables and charges for drugs and services are subject to VAT at the current rate. Fee levels are determined by the time spent on a case, the level of intensity of investigation and treatment used, the expertise required and the technical equipment used, in addition to the costs of drugs, materials and consumables used.

You agree to pay to Hamilton Equine Limited all costs and expenses that may be incurred whilst your animal is under Hamilton Equine Veterinary Practice Limited's care. You understand that if complications occur, the costs, which you will be liable for, may well be in excess of those first anticipated.

You will understand that quite often the investigation and treatment of accident, illness and injury does not follow a predictable “standard” course, and therefore costs may vary and be difficult to predict accurately. Where complex or costly investigation and treatment is anticipated, we will discuss this with you and provide you with an estimate where requested. If specifically requested, we will provide you with a written estimate but, unless stated to the contrary, such an estimate will be for guidance only. We will endeavour to inform you of significant changes from the estimate throughout the progress of each case investigation/treatment. Depending on the treatment/investigation process this may not be possible. Please be aware that where unexpected problems and complications occur, costs are likely to increase. The Client also accepts that Out of Hours calls and consultations will attract additional charges depending on the time of day/night.

 

Invoicing and payment terms


An itemised invoice will be produced at the conclusion of investigation and/or treatment.

The Client shall pay Hamilton Equine Veterinary Practice invoices in full, in pounds sterling and in cleared funds, within the payment terms stated on the invoice and/or statement, without any set-off, counterclaim, withholding or deduction. The following payment methods are acceptable: BACS, cash, Go Cardless or cheque and all cheques should be made payable to Hamilton Equine Veterinary Practice Limited.

New Clients may be required to pay in advance or at the time of visit for Services until an account with Hamilton Equine Veterinary Practice has been opened and approved. Certain procedures may require payment in advance for existing clients.

Interest will be charged at a rate of 2.5 % per month on overdue invoices. Such interest will accrue monthly until such time that the overdue account and any interest payments are paid in full. If accounts remain unpaid after 2 months the account will be referred to a third-party debt agency or the County Court. Agency fees, plus any court and collection fees will be the responsibility of the client.

 

Inability to pay


If for any reason you anticipate being unable to settle your account in full by the stipulated due date, we ask that you discuss this matter with us as soon as possible. In exceptional circumstances only, part payment or payment by instalments on account (normally a standing order) may be arranged at the discretion of the directors only.

 

Equine Insurance


Hamilton Equine Veterinary Practice will charge a reasonable fee for completing insurance forms from insurance companies; this fee reflects the time that we have to invest in completing this paperwork. A standard fee will be charged per insurance claim.

Any insurance agreement is between you and the insurance company. The settlement terms apply in all instances unless prior arrangement has been made with Hamilton Equine Veterinary Practice Ltd. As such, to avoid any interest charges, it is possible that payment by the client to Hamilton Equine Veterinary Practice Limited may be required prior to the client receiving payment from the insurance company. Non – payment or delayed payment by an insurance company is not the responsibility of Hamilton Equine Veterinary Practice Limited and payment of the full account by the client will be expected in line with the agreed settlement terms.

Hamilton Equine Veterinary Practice Limited strongly supports the principle of insuring animals against unexpected accident, illness or injury. 

 

Passports

All animals treated by Hamilton Equine Veterinary Limited must have passports. These should be available for inspection and should be signed by the owner to confirm that the animal is not intended for human consumption. If you do not have a passport or the animal is intended for human consumption it is your responsibility to inform the treating veterinarian prior to any treatment being carried out.

 

Confidentiality and Data Protection


Hamilton Equine Veterinary Practice Limited recognises that client confidentiality is of the utmost importance.  Save as required to perform the agreed services or as required by law, we will not pass any of your personal identifiable details to third parties without your permission (including permission given in these Terms and Conditions).

We use any personal data we collect in accordance with our Privacy Notice. Further information regarding your rights with respect to your Personal Data can also be found in our Privacy Policy which is available on request.
